For the purpose of this document, ‘us/we/our’ refers to Pick a Party and ‘you/your’ refers to the customer.
The terms ‘hire items’, ‘items’ and ‘Party Kit’ refers to all goods hired to you by us.
Payment of your deposit is deemed as you having read, understood and accepted our terms and conditions.
All bookings are made between us and you.
Our contract is with the person named on the booking form.
1. Property Ownership and Responsibility
1a. All hire items are the property of us and remain so throughout your hire.
1b. During the period of hire, you are solely responsible for items hired at all times and for insuring the items for theft or damage.
1c. We shall not be responsible for any injury, death or damage to people, pets or property howsoever sustained, arising from the hire of our items.
1d. Some of our Party Kit items contain small parts and some are made of glass. It is your responsibility to decide if the items you are hiring are suitable for your event.
2. Payment and Cancellation Terms
2a. A £30 security deposit will be taken from us at the time of booking. This will secure your booking. This deposit will be fully refunded after your event, if no loss or damage has occurred to the Party Kit. Please allow up to 7 days after the items have been returned for the refund to be processed. The deposit will be returned in the same way as it was paid.
2b. Full payment of hire items is due 7 days before the hire date. If payment is not made by this time, we have the right to cancel your booking and you will lose the deposit paid.
2c. If hiring the Hyperboom speaker as a Party Extra, an additional £50 refundable deposit is required. This will be refunded along with your £30 deposit if no loss or damage has occurred.
2d. If you need to cancel your event for any reason, you can rebook the hire items for a new date (subject to availability) or accept a credit note for any monies paid which will be valid for 12 months.
2e. In extreme circumstance, we reserve the right to cancel your booking up to, and including, the day of your booking. In these circumstances, all monies will be refunded to you. You will not be able to pursue us for further compensation or any additional cost you may incur as a result of this cancellation.
3. Standard Hire Period
3a. Standard hire is for one day on the day of your event. However, we will confirm exact time frames upon confirmation of payment and this will be based upon delivery/collection arrangements and availability.
3b. Extended hire of equipment can be discussed at the time of booking and will be charged at an agreed rate.
4. Failure to Return Items and Damaged Items
4a. If items fail to be returned to us after the agreed hire period, you will be liable for the cost of returning the item to us.
4b. Items will be checked by us at the end of the hire period. We will notify you of any missing items. You have 7 days to return to us any missing items from your Party Kit. After this time you will lose your deposit.
4c. If you have lost or damaged any items, you will be responsible for the full cost of replacing each item. We will exercise our right to pursue you legally for this cost. A full list of breakage costs can be provided at the time of booking if required.
4d. Please report any missing items or damage to us upon return of your hire.
5. Hire Items During Loan
5a. On receipt of your Party Kit, please check the inventory list enclosed and cross reference with your Party Kit to ensure all items are included and as advertised. It is your responsibility to inform us immediately of any problems. No complaint on the condition or quality of your hire items will be accepted at a later stage if concerns have not been raised within two hours of you taking delivery. You may not request a reduction/refund on payment based on the quality/condition of items if we did not receive this information within the stated timeframe.
5b. If an item you have booked is broken, lost or damaged prior to your hire taking place, we will inform you of this and every effort will be made to replace the item. If this is not possible, or you are unhappy with the replacement, you have the right to cancel the hire of your Party Kit prior to the hire date and a full refund will be given. No further compensation will be due.
5c. It is your responsibility to set up your Party Kit, unless you have booked our Set Up service.
5d. Prices for Pick a Party setting up your Party Kit are dependent on location, date and the time of your event and will be priced accordingly and subject to availability. This can be discussed when making your booking. If using this service, Pick a Party will only set up items hired by us. We will not set up items provided by you or a third party.
5d. Included with your Party Kit, will be instructions detailing how to set up and care for the items. You must follow the care instructions during your hire. This information can be obtained prior to your party, should you wish to read it in advance. Please contact us to request this.
5e. It is your responsibility to pack the hire items away after your event, using the boxes provided and following the care instructions included with the Party Kit.
5f. Items must not be used outside in wet weather.
5g. Napkins provided will match the colour or theme of the Party Kit but may be different in design to those shown on the website or those used in any advertising.
5h. Items are to be used for decorative purposes only and not as toys. Some items are breakable and some contain small parts which may be dangerous if not used correctly.
5i. Any cutlery used when using our plates and bowls must be plastic so as to reduce damage to these items.
5j. Unless otherwise stated, as part of our service, we wash up and clean our hire items on return of our kit; there is no expectation for you to do this.
However, we request any excess food, condiments and liquids are wiped off the plates, cups and bowls. Failure to do this will incur an extra washing charge of 25p per item. If food or liquid is spilled on tablecloths, wipe this off as soon as is possible to prevent stains. Tablecloths that are returned with stains on may result in part of your deposit being lost.
5k. A free washing up service is included for parties of up to 30 guests. A washing up fee is applicable for item hire for additional guests. Please see our website for current prices.
6. Delivery and Collection
6a. We will confirm specific dates and times of delivery no later than 7 days before your event.
6b. It is your responsibility to ensure easy access to the delivery address for the purpose of unloading and loading equipment. Any restrictions must be reported to us at the time of booking such as (but not limited to): lack of parking, double yellow lines, stairs. Failure to do so may result in us not being able to deliver.
6c. We will deliver to the address agreed upon the booking form. We will assume that any person accepting the Party Kit at this address is deemed to be authorised to do so.
6d. A person must be present for delivery and collection: items must not be left unattended for us to collect at the property.
6e. All Kits include free delivery and collection within East Leake. Item hire greater than £50 includes free delivery within a 5-mile radius. Delivery beyond 5 miles will incur a delivery fee. Please contact us for details. Free collection is also available.
